Personal Information Protection Policy

Attain Corporation (hereinafter referred to as “Attain”) complies with the Act on the Protection of Personal Information and other applicable laws and regulations regarding the personal information (including specific personal information) that we acquire and handle in the course of our business, including the production and sale of video teaching materials, the provision of learning management systems such as e-learning solutions, and the maintenance of such systems.

In addition to complying with the Act on the Protection of Personal Information and other applicable laws and regulations, we are actively committed to protecting personal information as part of our information security activities in order to ensure the peace of mind of individuals and our business partners.

To achieve this, we have established this policy and have built rules and systems based on this policy as our “Personal Information Protection Management System,” which is implemented company-wide.

1. Acquisition, Use, and Provision of Personal Information

We appropriately acquire personal information handled in the course of our business activities, as well as the personal information of our employees. We handle personal information appropriately within the scope of the purposes of use established through our business activities, and we will not use personal information beyond those purposes or provide it to any third party without the consent of the individual concerned.

In addition, to ensure that these policies are thoroughly implemented, we conduct regular employee training, internal audits, and other appropriate measures.

In order to ensure that personal information is handled safely and appropriately, we have established a management structure led by a Personal Information Protection Manager as part of our “Personal Information Protection Management System.” Through training provided to each employee, we strive to prevent the loss, destruction, falsification, damage, leakage, and other risks involving personal information.

In addition, through daily checks and internal audits, we endeavor to detect any inappropriate handling at an early stage, identify the cause of the problem, correct it, and prevent recurrence.

We have established a “Personal Information Inquiry Desk” to receive complaints and consultations regarding the handling of personal information, and we will respond promptly and without delay while respecting the wishes of the individual concerned.

5. Continuous Improvement of the Personal Information Protection Management System

In order to ensure personal information protection that responds to changes in the business environment and social conditions, as well as advances in information technology, we will flexibly review our “Personal Information Protection Management System” and strive to continually improve and enhance our efforts.

6. Handling of Anonymous Processed Information

We do not handle anonymized processed information in the course of our business. If such handling arises in the future, we will disclose the matters required under applicable laws, regulations, and related guidelines, implement appropriate safety control measures, and handle such information properly.

Requests for notification of the purpose of use, disclosure of personal data, and other related requests may be made only by the individual concerned or his/her representative.

To confirm that the requester is the individual concerned or a representative, please first contact our dedicated Personal Information Inquiry Desk (see below) with your request for disclosure, etc. of personal information. We will send you our prescribed “Personal Information Inquiry Application Form” in paper, electronic, or another requested format.

Please complete the required information, enclose the identification documents listed on the form and stamps worth 300 yen to cover the actual administrative cost (only if you wish to receive notification of the purpose of use or disclosure of personal information), and send them again by mail to our Inquiry Desk. If you use an official certificate as identification, please black out all information other than the parts necessary to confirm your identity, such as your name and address. If the “Personal Information Inquiry Application Form” is incomplete or if the identity of the applicant cannot be confirmed, we will notify the applicant accordingly. Please note that although we will respond as promptly as possible after receipt, mailing may require several days.

4. Provision of Personal Information to Third Parties and Outsourcing

We will never sell or lease the personal information we have acquired to other companies. We may outsource part of the work necessary for the operation of our services to external third parties, and may disclose to such third parties the information necessary for carrying out that work. In such cases, we enter into confidentiality agreements with the relevant third parties and exercise the utmost care in supervising and managing such arrangements.

When processing payments, to the extent necessary for the implementation of EMV 3-D Secure (cardholder authentication) for the purposes of detecting and preventing fraudulent use, verifying the identity of the cardholder, and ensuring transaction security, we or the payment service provider will provide credit card information and the cardholder’s personal information to the payment service provider and the credit card issuer.

Where delivery of goods is required, we will entrust the delivery company with the information necessary for shipment. Except where disclosure of personal information is required by law or legal proceedings, where we determine it is necessary for law enforcement, the protection of life or property, or the public interest, or where otherwise required by applicable laws and regulations, we will not provide personal information to any third party without the consent of the individual concerned.

【Provision of Personal Data to Third Parties Located in Foreign Countries】

With regard to student information for the e-learning services operated by us, some site construction and operational services are carried out using platforms provided by external companies. In such cases, student information relating to the e-learning services may be provided to platform providers and their affiliated companies located outside Japan. For details regarding the handling of personal information provided to such third parties located in foreign countries, please refer to the “Personal Information Handling Regulations” posted on each of the service sites listed below.

In addition, if the credit card issuer used by a customer is located in a foreign country, the information may be transferred to the country to which that card issuer belongs. However, because we cannot identify, from the information obtained from customers, the credit card issuer used by the customer or the country or region in which such issuer, its branches, or the locations where the information is stored are located, we are unable to provide information regarding the personal information protection measures taken by such foreign credit card issuers. Customers are requested to check the information on personal information protection systems in each country, as published on the website of the Personal Information Protection Commission (https://www.ppc.go.jp/ ), on their own.

In addition, with respect to personal information held by client companies that we may view or use in connection with commissioned work other than e-learning services, we will handle such personal information appropriately in accordance with the client’s rules and only within the scope necessary to achieve the intended purpose.

5. Voluntary Nature of Acquisition

The provision of personal information is voluntary. However, if you do not provide us with certain personal information, we may not be able to appropriately handle your information in accordance with the purposes of use described above.

We clearly define the areas in which personal information is handled and strictly control entry and exit, as well as the bringing in and taking out of devices and materials. We also conduct regular inspections to prevent theft or loss of equipment, electronic media, and documents containing personal information.

(6) Technical Security Control Measures
We have introduced mechanisms to protect information systems that process personal information from unauthorized access and system failures. SSL encryption is used for the transmission and receipt of personal information in order to prevent leakage through communication channels. We also implement access controls so that only those who need access may handle personal information.

(7) Understanding the External Environment
Personal data may be stored outside Japan through services used by us. In such cases, we identify the legal systems concerning personal information protection in the relevant countries, confirm that service providers are obligated to implement appropriate security management under their terms of use or similar agreements, and take necessary supervisory and security measures so that personal information is appropriately protected in accordance with our security standards.
